5 Reasons Your Employees Need SharePoint Training

5 Reasons Your Employees Need SharePoint Training

We hear this in almost every SharePoint project. A few months later, those same tech-savvy users have broken permissions, duplicated libraries, or accidentally deleted synced content from a document repository.

SharePoint is not a simple cloud file share. It has its own structure and logic including sites, document libraries, Microsoft 365 Groups, Teams integration, channels, layered permissions, and sync behavior. These pieces work together, but only if we understand how they connect.

SharePoint is powerful. It is also complex. Without training, even capable employees make costly mistakes.

1. Prevents Costly Mistakes

SharePoint is permission-driven. Small mistakes can create large problems.

Incorrect permissions can expose sensitive HR or financial data. Poor version control can cause teams to overwrite the wrong document. Accidental deletions, especially in synced libraries, can disrupt an entire department.

A good example is when a department manager shares a document library with β€œEveryone” instead of a specific security group. Sensitive salary data becomes visible to the entire organization.

At the same time, another employee syncs the library to their desktop, reorganizes folders locally, and deletes files they believe are duplicates. Those deletions sync back to SharePoint. Critical documents disappear.

No one intended to cause damage. The issue was not carelessness. It was lack of training.

Training reduces these risks. When employees understand how sites, libraries, permissions, and versioning work, they make informed decisions instead of guesses. They follow structure. They follow governance. They avoid shortcuts that create problems later.

2. Improves Productivity

Without training, employees treat SharePoint like a basic file share.

They create deep folder structures. They duplicate files. They email attachments instead of sharing links. They spend time searching for documents that already exist.

Training shows employees how to use metadata, search, version history, and sharing correctly. Work becomes faster and more structured.

Microsoft outlines structured document management and collaboration capabilities within SharePoint in its official documentation. Understanding these capabilities helps teams use the platform as intended.

3. Increases Adoption and ROI

Many organizations invest in SharePoint but only use it for storage.

Lists, automation, approvals, and collaboration features go unused. Leadership begins questioning the value of the platform.

A good example is HR teams manually tracking onboarding tasks in spreadsheets. After training, they build a SharePoint list with automated notifications and approvals. What took days of back-and-forth emails becomes a structured, trackable workflow.

Microsoft also provides guidance on automation through Power Automate. When organizations understand how SharePoint integrates with automation tools, ROI increases significantly.

Training changes usage behavior. Employees understand what SharePoint can do beyond file storage. Adoption increases. The platform delivers measurable value.

4. Supports Governance and Compliance

Governance fails when users do not understand it.

Retention policies, naming conventions, metadata standards, and access controls only work if employees follow them. Without training, compliance becomes reactive instead of controlled.

Training aligns user behavior with governance policies. It reduces legal and regulatory exposure.

For Australian organizations handling personal information, the
Australian Privacy Principles
outline clear obligations around data protection and access control. Structured SharePoint usage supports those obligations.

5. Enables Smarter Collaboration

SharePoint connects with Teams, OneDrive, and Microsoft 365 Groups. Without training, employees misuse these tools.

Files end up scattered between personal drives, Teams chats, and multiple sites. External sharing becomes inconsistent and risky.

Training clarifies when to use SharePoint, when to use Teams, and when to use OneDrive. Collaboration becomes structured and secure.
